UM IT Services acceptable use policy

The term ‘IT Services Facilities’ refers to all facilities and services supplied by the University of Malta (UM) IT Services (hereinafter referred to as ‘IT Services’).

The term ‘User’ refers to any person authorised to use IT Services Facilities.

The term ‘Policy’ refers to this document or to the latest version thereof, currently in force. 

Users realise that these terms and conditions are intended to help maintain good order, which means not only preventing illegal or undesirable behaviour, but also ensuring that the use of shared facilities for bona fide academic work is neither jeopardised nor disrupted.

Besides adhering to the Policy, Users are expected to use their common sense, as failure to act sensibly may in itself be regarded as breach of the Policy.

  1. No User shall use, or allow others to use any of the IT Services Facilities without authorisation from the IT Services. 
  2. No User shall by any wilful, deliberate, reckless or unlawful act interfere with the work of another user or jeopardise the integrity of data networks, computing equipment, systems programs or other stored information. 
  3. All Users shall be expected to treat as privileged any information which may become available to them through the use of such facilities and which is not obviously intended for unrestricted dissemination; such information shall not be copied, modified, disseminated, or used, either in whole or in part, without the permission of the appropriate person or body.
  4. Use of the IT Services Facilities is subject to the RiċerkaNet Acceptable Use Policy 
  5. No User shall use IT Services Facilities for private financial gain or for commercial purposes without the specific authorisation to do so. 
  6. No User shall use IT Services Facilities for unlawful activities. Unlawful activities include, but are not restricted to:     
    • receiving or transmitting material which is in violation of Maltese Law     
    • attempting to access or modify computer systems or data to which the User has no authorisation     
    • transmitting or otherwise making use of any electronic material (including viruses), which shall cause or is likely to cause damage to computer systems belonging to IT Services or other Internet users.  
  7. Users shall safeguard their password and shall not divulge it to others. Users are obliged to inform IT Services if unauthorised access to their password is suspected. 
  8. IT Services Facilities may be used to connect to other networks. Users shall observe any rules or policies of any network that the user connects to. 
  9. Users who have left or completed their studies at UM / the UM Junior College, or who are no longer employed at UM, are not entitled to make use of the IT Services Facilities unless expressly given permission to do so.
  1. IT Services labs and their facilities shall be used for academic and related purposes only. 
  2. Users shall not switch off or reset any of the computers at any time. 
  3. In the case of a computer malfunctioning, Users shall ask a member of the IT Services staff for assistance and shall not, in any circumstance, tamper with such computer. 
  4. No food or drink or smoking is allowed in the lab. 
  5. Users shall not install any software on any machines without obtaining prior permission from IT Services. 
  6. Although the IT Services Facilities may be limitedly used for personal use, such as for correspondence, Users shall give first priority to those in need of the facilities for academic and related purposes. 
  7. Users shall respect others using the IT Services Facilities and shall refrain from rowdiness and from distracting other users in any way. 
  8. Users shall not play games in the labs. 
  9. Users shall not leave workstations unattended. IT Services reserves the right to log off Users who leave their workstation locked or unattended. 
  1. Junior College students are provided with a UM Junior College email address and Google Workspace for Education for academic-related work. Junior College students are to abide with the Google Workspace Acceptable Use Policy when using any Google Workspace for Education service. 
  2. UM students are provided with a UM email address and Google Workspace for Education for academic and UM-related work. UM students are to abide with the Google Workspace Acceptable Use Policy when using any Google Workspace for Education service. 
  3. UM staff are provided with a UM email address and Google Workspace for Education for academic and UM-related work. UM staff are to abide with the Google Workspace Acceptable Use Policy when using any Google Workspace for Education service. 
  4. The Google Workspace for Education service is a privilege offered by UM to UM students, Junior College students and UM staff. The continuance of the provision of the Google Workspace for Education service is contingent upon the continuance and renewal of the current agreement between the UM and Google.
  5. Each User has an allocated quota for emails and files on Google Workspace for Education. Users must ensure that the allocated quota is not exceeded, otherwise they will not be able to receive any more emails. 
  6. While the receipt of junk mail is unavoidable, Users shall not initiate or pass on chain letters, junk mail or other unwanted mail via the email service to any other Users or to users of other systems. Similarly, Users shall not make use of the email service to transmit offensive emails to other users. 
  7. The forging of emails by interfering with the headers of the original message or by arranging them for erroneous information to appear there (in particular to disguise the true sender or to masquerade as another user) is explicitly forbidden both in the context of actual email activities and at other times when an email address may be quoted.
  1. Online publication of material which is offensive or in breach of copyright and of any other material which may bring UM into disrepute is prohibited. 
  2. The UM web pages may not be used for profit-making purposes or for publishing third party material. 
  3. Unless express prior consent for such purpose has been obtained, any material which is published online shall not in any manner claim or display indications that it is published with the official sanction of UM. 
  4. The website will be kept up-to-date and any updates to the Content Management System (e.g. WordPress) and/or any relevant plugins will be performed promptly. Should the website be compromised, UM reserves the right to disable access to the website and terminate the hosting. 
  5. Users who are in doubt as to whether they are legitimately able to publish any material online are required to contact us via the IT Services Self-Service Portal.
  1. IT Services reserve the right to amend this Policy at any time as deemed necessary.   

    The User shall be notified of such amendments by at least one of the following methods:     

    • email to User's UM / UM Junior College email address     
    • notification on IT Services webpage.  
  2. Users’ use of, or access to, the Services at any time after such notification is made shall signify a tacit acceptance by Users of the Policy as amended.
  1. While the IT Services shall endeavour to ensure the provision of an efficient service, IT Services will not be liable for loss of data or for any loss or liabilities resulting from any shortcomings in the IT Services Facilities. 
  2. It is recommended that Users keep a separate backup, on their own storage media (e.g. USB disks, DVDs, etc.), of any data stored on their user accounts. 
  3. IT Services reserves the right to suspend any or all of the IT Services Facilities provided by it, for whatever reason.
