You can still access your University Gmail, Google Calendar and Google Drive when your computer cannot connect to the Internet. Before you proceed with setting up offline access to G Suite for Education (formerly known as Google Apps for Education), it is important to read the following notes:

  • You will need to use the Chrome browser to set up offline access to the University Gmail, Calendar and Drive.
  • You will need to install and configure offline access on each computer from which you access G Suite. If you want to enable offline access on both your laptop and desktop computer, you will need to set it up twice - once on each computer.
  • Once you configure offline access, your data will be available on the computer's local hard drive. It is therefore important that you do NOT set up offline access on a public or shared computer.
  • If you have other Google accounts in addition to the University G Suite account, you can set up Chrome with multiple profiles and then enable offline access for each account.
 

Setting up Gmail Offline

Gmail Offline allows you to read past emails and compose new emails when you are not connected to the Internet. Any messages that are composed when offline will be automatically sent as soon as you connect to the Internet.

Your data will synchronise in the background while you are working online, so that when you go offline you will be able to access the latest emails from Gmail Offline. If you close Google Chrome while you are online, the sync will stop at that time. 

To install and configure Gmail Offline, please follow these instructions. It is also recommended that you install the Gmail Offline Sync Optimizer for a better sync experience.

By default, Gmail Offline will only give you access to the emails that you sent/received in the last seven days. However, you can change this to two weeks or a month by following these steps:

  1. Open the Gmail Offline app, and click the gear icon in the top-right corner.
  2. In the Download mail from past drop-down menu, select week, two weeks, or month.
  3. Click Apply (top-right corner).

Setting up Google Calendar Offline

You can set up offline access for Google Calendar in Google Chrome, which enables you to access your University calendar events whenever you have no Internet connectivity. 

Please note that while offline, you can only view and reply to events that are available in calendars that you opted to use offline. However, Google Calendar will be read-only and it will not be possible to create, edit, or delete events. You are only able to view events and reply to existing invitations.

Your data will synchronise in the background while you are working online, so that when you go offline you will be able to continue accessing the calendar events.

Setting up Google Drive Offline

You can set up offline access for Google Drive in Google Chrome, which enables you to access your files whenever you have no Internet connectivity. You will also be able to view and edit your Google Docs as if you were still connected to the Internet. If you lose connectivity while working on a Google document, you will automatically be able to continue working uninterrupted.

Please note that any changes you make while offline will only be visible to you, until you reconnect to the Internet.

Accessing University Gmail, Calendar & Drive Offline

Once you have configured G Suite for offline access (as per previous instructions), you will be able to open the offline versions of the University Gmail, Calendar and Drive as follows:

  1. Open a new tab in the Chrome browser.
  2. Click the Apps button in the bookmarks. Apps Icon

  3. Click the appropriate icon e.g. Gmail Offline, Google Calendar or Google Drive.
