DESCRIPTION This new study-unit will introduce the major aspects of selecting, deploying and using a document management system with illustrations from governmental sector practice.

Topics to be covered in the study-unit include:
- Role and place of document management systems (DMS) within the modern knowledge and information systems;
- Requirements to DMS. Types of solutions available (commercial, in-house, open);
- Case studies of commercial systems: Sharepoint (example based on its use in the Central Bank of Malta);
- Case studies of commercial systems: Adaptation to the organisational needs (InFusion Malta);
- Stages of in-house deployment of DMS;
- Examples of open DMS (NUXEO, Alfresco, OpenDocMan);
- Document retention policies and processes;
- Ethical and rights issues related to DMS.

Study-unit Aims:

The study-unit aims to:
- Introduce basic concepts related to DMS;
- Discuss a range of examples from their application including in Malta.

Learning Outcomes:

1. Knowledge & Understanding:

By the end of the study-unit the student will be able to:
- Understand role of DMS in the knowledge management;
- Identify the requirements to DMS;
- Understand the difference between the typical types of solutions in this domain;
- Understand main ethical and rights issues related to the use of DMS.

2. Skills:

By the end of the study-unit the student will be able to:
- Contribute to specialised research related to ICT tools within the modern knowledge management;
- Specify the technical requirements related to DMS;
- Make informed decisions regarding DMS and their applications on a particular setting.
