Archiving policy

Archiving policy

Every year, in December, all study-unit areas of the previous academic year are archived.

Tutors can access and amend any material in the archived study-unit areas of the previous academic year. Older study-unit areas are set to read-only, that is, no further changes can be made to the areas. Students cannot make further contributions, such as forum posts, assignment submissions etc. to all archived study-unit areas.

Tutors can use the VLE Copy Tool to copy the study material between different areas. The tool copies all the files, resources and activities that the tutors have set up for students, except for student submissions such as assignments, forum posts etc. More information about the VLE Copy Tool is available.  

The archived study-unit areas remain accessible by tutors and current students for five (5) academic years for revision purposes.

An example scenario of the UM VLE archiving process is illustrated below.   

  • Current academic year: 2023/24 - Read and Write
  • Previous 5 academic years:
    • 2022/23 - Read only (students) / Read and Write (tutors)
    • 2021/22 - Read only
    • 2020/21 - Read only
    • 2019/20 - Read only
    • 2018/19 - Read only
  • Other academic years: 2017/18 and earlier - No longer available

Archived study-unit areas for 2022/23, 2021/22, 2020/21, 2019/20 and 2018/19 are accessible from the UM VLE.

The archived class areas remain accessible by tutors and current students for two (2) scholastic years for revision purposes.

An example scenario of the JC VLE archiving process is illustrated below.   

  • Current scholastic year: 2023/24 - Read and Write
  • Previous 2 scholastic years:
    • 2022/23 - Read only (students) / Read and Write (tutors)
    • 2021/22 - Read only
