Introduction to SIMS

Trainers: Mr Clayton Cassar & Mr Thomas Xuereb
Target Audience: Members of staff identified by the SIMS Office. They will be contacted by the SIMS Office to attend.
Course duration: 5 hours    

These courses are offered to administrative members of staff in order to provide them with the necessary skills and knowledge to manage the SIMS database. 

This course provides a foundation for the SIMS software and is a prerequisite for all other SIMS training programmes. The course equips trainees with the necessary skills to perform basic operations in SIMS.

 The main topics covered during this course include: 

  • An overview of the SIMS program
  • Introduction to the University Coding System
  • Basic navigation skills through the different screens and menus
  • Retrieving, editing, adding, deleting and printing student records
  • Student Related Tables  

 

Study-Unit Registration

Trainers: Ms Fiona Refalo & Ms Dorianne Mallia
Target Audience: Members of staff identified by the SIMS Office. They will be contacted by the SIMS Office to attend.
Course duration: 2.5 hours    

This course provides a broad overview of study-units and cover information regarding the duration, credit value and assessment patterns of study-units. This course equips trainees with the necessary skills to register students on study-units, add and drop study-units, check study-unit information and generate lists related to study-units.

 The main topics covered during this course include: 

  • An overview of study-unit coding  
  • Study-unit registration
  • Generation and printing of reports

 

Results Inputting

Trainers: Ms Anika Bartolo & Ms Carmen Bezzina 
Target Audience: Members of staff identified by the SIMS Office. They will be contacted by the SIMS Office to attend.
Course duration: 6 hours    

This course provides information about the key assessment processes and the University marking scheme. The course equips trainees with the necessary skills to input study-unit results, process re-assessment results and generate reports listing study-unit results.

 The main topics covered during this course include: 

  • An overview of the University marking scheme
  • The inputting of study-unit results
  • The re-assessment process
  • Generation and printing of study-unit result reports

Student Progression Process 

Trainer: Ms Charmaine Scicluna
Target Audience: Administrative members of staff, especially members of staff working within academic entities.
Duration of Session: 3 hours    

The Student Progression Process is an online task that enables SIMS users to indicate and submit a progression decision for students registered with their respective academic entity through eSIMS.  This training session is intended to provide information on how SIMS users can use this online facility. Access to student progression will only be provided to SIMS users who have completed this session.

 

New Study-Unit Proposal Task 

Target Audience: Members of staff identified by the Faculty. They will be contacted by the SIMS Office to attend.
Duration of Session: 3 hours    

A new approval task has been developed in order to replace the present study-unit approval form. With this new task, SIMS users are able to propose a new study unit and commence the approval process online in a simplified, paperless manner.

Proposals will follow a standard flow where a request is processed from the proposer of the study unit all the way to the approval and creation body. This task will also include features of logged and centralised messaging utilities, which will help users keep track of any communication throughout approval flow.

In order to increase efficiency of this task and to facilitate the entire process, users will receive alerts in the form of tray messages and emails at every stage so as to ensure that the user is notified if an action from their end is required.

  

Changes on SIMS – Amendments to the General Undergraduate Regulations

Trainers: Ms Anika Bartolo & Ms Carmen Bezzina
Target Audience: This course is obligatory for members of staff who have access to Results Inputting on SIMS and who work within academic entities that offer undergraduate courses.  All members of staff are required to attend for this course between the period November 2019 - January 2020.
Pre-Requisite: The training session entitled: Amendments to the General Undergraduate Regulations delivered by Ms Romina Sammut.
Course duration: 3 hours    

The aim of this course is to inform the administrative members of staff regarding the changes that were implemented on SIMS following the amendments of the General Regulations for University Undergraduate Awards, applicable as from October 2019.  

The main topics covered during this course include: 

  • New marking schemes and the respective new grades;
  • Inputting of results in certain scenarios related with the Absence from Assessments;
  • New eSIMS option for students to request a change of grade from AB to F;
  • Process of copying Incomplete (F & AB) results from a year to another;
  • New Letter/Email Templates - change in Student’s status and progression.

Introduction to new eSIMS task for Applications with Overseas Qualifications

Trainer: Mr Clayton Cassar
Target Audience: Administrative members of staff, especially members of staff working within academic entities. The presence of at least one officer from each F/I/C/S is essential.
Course duration: 3 hours    

This course is intended to introduce administrative members of staff to a new online vetting procedure which is being implemented for applications received from applicants holding overseas qualifications. 

Trainees will learn about the process related to the assessment of such applications, and the skills required to perform the relevant vetting process through eSIMS task. 

This training is a prerequisite for all administrative members of staff who work in collaboration with the International Admissions Office with regards to the decisions pertaining to applications with foreign qualifications. 

The main topics covered during this course include: 

  • An overview of the assessment of applications received from applicants holding overseas qualifications;
  • Introduction to the eSIMS Vetting Task and Report;
  • Basic navigation skills through the different screens and menus;
  • Information about the actions required from administrative members of staff;
  • Retrieving student records and details through an eSIMS Report/s. 

Marks and Grades - Results Inputting on SIMS

Target Audience: Administrative members of staff, especially members of staff working within academic entities.
Course duration: 2.5 hours    

Do you have doubts on which grade/s should be used when inputting results for certain scenarios? If yes, this course is ideal for you as the trainers will explain the different grades that may be used according to the University marking schemes. Interested applicants are encouraged to bring with them any cases and scenarios they may have encountered during the last examination session.

General Processes on SIMS

Course duration: 3 hours    

Do you wish to learn new tips and tricks when using SIMS in your daily tasks?  Then, you are highly encouraged to apply for this course where SIMS Office staff will share with you some of their hints! This course is intended for UM Administrative staff who have joined UM before June 2016. Staff who have joined the UM after this date can also attend as a refresher course.   

Distribution of Theses/Dissertations to the Library from eSIMS

Trainer: Mr Clayton Cassar
Target Audience: Administrative members of staff, especially members of staff working within academic entities.
Duration of Session: 1 hour 

SIMS Office in collaboration with the Library, have worked on an eSIMS task for the F/I/C/S users, which enables them to send the theses/dissertations to the library. This eSIMS task shall replace the previous method, that is, the sharing of such files via Google Drive or otherwise email. This task has been developed to minimise the manual work done by F/I/C/S users such as, providing the ETD Code and compiling the list with the data required by the Library.

During the training, SIMS Office will provide a session on how to use the task, and the Library will answer any general questions about theses/dissertations. The manual can be accessed from the following link under ‘Other’ section.
