DESCRIPTION Addresses the application of records management policies, in particular, issues of classification, retrieval, records management ethics, and the effects of Data Protection and Freedom of Information on records management. It also discusses the best practice for the management of semi-current records, retention scheduling, and review systems. Introduces the student to the challenges offered in managing electronic records. Gives an overview of some of the records management software packages on the market.

Study-unit Aims:

This study-unit aims to train students in analyzing the intellectual aspects of controlling and managing records. It puts before the student the management of records not only as a manual efficiency challenge, but also as an intellectual process, that needs to be studied, and managed in line with international professional and standardized processes.

Learning Outcomes:

1. Knowledge & Understanding:

By the end of the study-unit the student will:
- Understand the structure of the classification of records;
- Understand issues of metadata;
- Gain knowledge on concepts of standardization and consistency which affect the capabilities of records management systems;
- Understand the implications of Data Protection legislation on the upkeep of records;
- Understand the implications of FOI legislation on the upkeep of records.

2. Skills:

By the end of the study-unit the student will be able to:
- Measure records office performance;
- Outline the technical requirements involved in the establishment of an automated records management systems;
- Put in place classification systems for traditional records;
- Put in place classification systems for electronic records;
- Conduct audits of records.
