DESCRIPTION This study-unit introduces the theoretical aspects of electronic records management and current best practices of electronic records management systems. The student will learn the types of electronic and digital records and the challenges they present to long-term preservation; current models for digital and electronic depositories; and disaster management techniques for electronic records. The student will research current digital projects as case studies and plan a system for capturing, storing, and retrieving electronic records. Some previous knowledge about computers and the internet is helpful, but not necessary. Access to the internet is required.

Study-unit Aims:

- Learn the characteristics of electronic records and digital collections;
- Learn the current best practices and models for managing electronic data;
- Learn how to organize and maintain digital collections;
- Learn how to provide access to digital collections;
- Know how to collect and harvest metadata;
- Discuss questions of stewardship and preservation of electronic materials;
- Understand privacy and ownership issues over electronic access;
- Develop a philosophy of electronic records management and retention policy;
- Develop a plan for disaster management and recovery.

Learning Outcomes:

1. Knowledge & Understanding:

By the end of the study-unit the student will be able to:

- Report the characteristics of electronic records and digital collections;
- List the best practices for managing electronic records;
- Explain the legal issues regarding privacy and ownership of electronic records, under current European laws;
- Describe the current technological tools regarding stewardship, preservation, and access to electronic records, within the framework of government records management practices;
- Explain the retention philosophy for electronic records, based upon current laws and technology and list the best practices for disaster management and recovery.

2. Skills:

By the end of the study-unit the student will be able to:

- Manage a set of already-existing electronic records according to current European best practices by writing a retention policy, a disaster plan, and a user guide for access;
- Prepare a plan to digitize an already existing archive by identifying similar projects, writing a timeline for digitization and metadata collection, and preparing a budget.
