Administration of PACES Exam 


The University of Malta invites an expression of interest for the provision of administrative support for the administrative organisation of the PACES exam, an international Medicine Clinical Exam organised by the Royal College of Physicians and hosted annually in Malta by the Faculty of Medicine and Surgery of the University of Malta.  The 3-day examination is normally held in December or April but preparations start weeks in advance. 


Terms of Reference:

  • Contacting patients and actors to confirm date and time of exam and act as a point of reference should any patients have any queries or want to cancel their attendance;
  • Get quotations of transport and catering as required;
  • Organising transport for patients and international examiners by liaising with the transport service provider;
  • Send appointment letters to patients once all confirmed;
  • Prepare request for money for patients and actors and liaise with the Finance Department to prepare the amount of money in cash needed;
  • Help in the origanisation of the College Dinner;
  • Prepare the Helpers’ Payment sheet to be sent to the Offices of the Human Resources and Finance to process Helpers’ payment;
  • Prepare Helpers attendance sheet for all 3 days in order to be sent to the departments mentioned above;
  • Prepare the necessary scenarios for all stations as sent by the Royal College of Physicians; 
  • Prepare the files for each examiner and ensuring that all files contain the necessary documents;
  • Prepare list of candidates per day based on the information provided by the College;
  • To ensure that each candidate have all the marking sheets as sent by the college (to be prepared beforehand);
  • Prepare the result sheets on the excel sheet sent by the college;
  • Inputting results on all days of the exam in the sheet provided by the college and ensure that results are inputted correctly. Results are displayed to the examiners after each cycle; an
  • To keep a scanned copy of each marking sheet and ensure that all original marking sheets are sent by courier to the College after the exam.

 

These procedures require excellent organisation skills and absolute accuracy.
