Post of Senior Information Management Systems Support Officer 
AIMS Office – Finance Office

Applications are invited for the post of Senior Information Management Systems Support Officer within AIMS Office, which forms part of Finance Office. 

Eligibility 

  • Scale 10 - Diploma in an ICT related area (MQF Level 5) and three (3) years of experience;
  • Scale 9 - Diploma in an ICT related area (MQF Level 5) and five (5) years of experience;
  • Scale 8 - Recognised University degree (MQF Level 6) and with three (3) years full-time experience using Information Management Systems OR in possession of a recognised University degree (MQF Level 6) in a business/IT related area OR in the grade of Information Management Systems Support Officer not below Scale 13 with seven (7) years of experience;
  • Scale 7 - in possession of a recognised degree in ICT (Level 6) and with one (1) year experience using Information Management Systems.

Preference shall be given to candidates having experience in Enterprise Resource Planning, Relational Database Management & Business Intelligence systems together with knowledge of JavaScript, SQL and HTML. Students, in their last year of studies in the abovementioned qualifications, shall also be considered.

Skills and Competences Required 

The ideal candidate should also possess: 

  • Excellent interpersonal and communication skills, 
  • Exceptional organizational skills and attention to detail; 
  • Knowledge of reporting and visualization tools especially SQL scripting skills & MS PowerBI;
  • Ability to interact professionally with staff and external entities and have a strong customer service focus; 
  • The ability to work both on own initiative and/or in a team and be able to adapt to different work environments; 
  • The ability to prioritize and schedule work; 
  • The disposition to learn new skills on the job and to pursue further studies and training as may be required.

Salary Details 

The annual salary for each entry scale, according to qualifications and experience, is as follows:

  • Scale 10 – €22,169 rising by annual increments of €408 up to a maximum of €24,617. 
  • Scale 9 – €23,617 rising by annual increments of €447 up to a maximum of €26,299. 
  • Scale 8 – €25,152 rising by annual increments of €487 up to a maximum of €28,074. 
  • Scale 7 – €26,806 rising by annual increments of €531 up to a maximum of €29,992. 

Senior Information Management Systems Support Officer will move to the next scale on completion of four (4) years of service in the grade and can continue progressing to the next scales after a further three (3) year period for each subsequent scale. All progressions are subject to satisfactory performance reports.

Further Information 

AIMS Office is entrusted with the implementation, maintenance and support of the Unit4 Business World on, an Enterprise Resource Planning (ERP) system within the University of Malta which incorporates Finance, Procurement, Human Resources and Payroll, Projects and Planner. The ERP system offers the aforesaid dedicated modules within it, each of which supports various administrative functions in their daily running of business processes and across functional areas of the University of Malta. 

Key Responsibilities

  • Provide technical and operational support to AIMS users in the day-to-day usage of the system;
  • Register, manage, investigate and troubleshoot system faults and issues as required;
  • Develop training manuals and train AIMS users, as and when necessary; 
  • Participate actively in the implementations and rollouts of the new modules/processes of the system; 
  • Act as point of contact with end-users and departments being serviced, be proactive to disseminate information to users and in turn collect feedback from users for improvement of AIMS systems;
  • Liaising with IT Services and any other administrative office, system’s support desks and consultants;
  • Be responsible for data maintenance of the areas in the system that may be assigned from time to time;
  • Be involved in system version update testing and implementation;
  • Document processes and keep such documentation regularly updated; 
  • Manage workload appropriately and ensure the timely completion of tasks in line with requirements; 
  • Any other duties as commensurate with the grade of the post and as assigned by Senior Support Manager and the respective head of the AIMS Office.

The appointee is expected to work:  

  • on a full-time basis, and will not be allowed to engage in any other gainful employment without the permission of the Council; 
  • at such places and during such hours as may be determined by the University Authorities. 

The Selection Procedure

The appointment will be subject to a probationary period of one year to the provisions of the Statutes, Regulations and Bye-Laws of the University which are now or which may hereafter be in force.
