Orientation Course Programme for New Support Staff – May 2010

The Office for Human Resources Management & Development organised an Orientation course programme in May 2010. This programme was spread over three days and scheduled in the mornings, between Monday 24th May and Wednesday 26th May. The programme was designed for new support and technical staff members. These employees work at the administration, faculties, centres and institutes within the University of Malta.

The programme sought to give the participants a basic overview and awareness of the organisational context within the University of Malta. Additionally during the programme, participants were provided with guidelines on how to tackle their day-to-day tasks more effectively. The principal aim of this programme was to transmit the notion to the newly recruited employees that they are working in an interconnected organisation, where all units must be synchronised, rather than working in an isolated unit.

On the first day of the programme, a brief introductory and ice-breaking session was given by Ms Amanda Ciantar. Participants were invited to introduce themselves, which allowed them to feel at ease with each other. Subsequently, Dr Mary Anne Lauri, the Pro-Rector who is responsible for students and institutional affairs, welcomed the participants and gave a brief introduction of the University of Malta.  The Director of Communications and Alumni Relations, Ms Patricia Camilleri related a history of the origins and development of the University of Malta and provided information on the functions of the Communications and Alumni Relations Office. Mr Mario Cassar illustrated the administrative set-up of the Faculties, Centres and Institutes via a power-point presentation, and explained the administrative work involved in overseeing students’ progression within the University.

Mr Mark Debono, the Director of Finance illustrated the organisational structure of the Finance Office and the legal consultants Dr Oriella De Giovanni and Dr Cristiano Grech gave a brief talk on the Legal Office. The Director for Human Resources Management & Development, Ms Jacqueline Fenech delivered a speech on her department and the services rendered to the employees. Finally Ms Angela Xuereb, from the Communications and Alumni Relations Office organised an interactive presentation, conducted at the IT Services Labs, regarding the use of the University’s website.

The second day started off with a campus tour by Ms Daphne Kelleher, who highlighted the most significant locations and buildings within the campus. This was followed by a talk by Ms Edith Boffa who gave details about the role of the Chaplaincy and the activities which it organises for students and staff. Mr Oliver Mallia delivered a short talk about the services offered by the University Sports Complex. This was followed by an introduction to the Staff Welfare Fund by Mr Tonio Agius.  Ms Lorleen Farrugia then gave a brief talk regarding the Counselling Services. Finally, Ms Marlene Bezzina delivered a talk regarding the function of the Registry Office.

On the third day, Ing Elisa Vella gave a brief talk on the Office of the Registrar and the SIMS Office. The Deputy Director of Library Services, Mr Silvio Cortis gave a brief introduction of the University Library and Ms Josianne Vella delivered a presentation of the online services provided by the Library, followed by a tour. Another talk ensued regarding the Academic Programmes Quality & Resources Unit, delivered by Mr Colin Borg, followed by Ms Anna Callus, who gave a presentation on the activities and initiatives taken by the International & EU Office. The final session was delivered by Mr Luigi Pellegrini, who gave a detailed account of the responsibility of the Scheduling Office.

Throughout the whole programme, the participants were encouraged to actively participate and interact with the speakers for further discussions and clarifications. Furthermore, a session was set aside for the participants to provide their general feedback regarding the course by means of an evaluation form. This feedback session was scheduled as the final session, in which a quiz took place. The participants who attended at least eight hours of the programme were presented with a certificate of attendance.
