IT Services supports Google Hangouts for voice and video calls amongst UM staff/students and other non-university users with a Google Account. Hangouts can also be used for instant chats/text conversations. 

Hangouts can also be used from mobile devices (Android tablets/smartphones, iPads/iPhones). It can also be accessed through the UM Webmail (Gmail).


A) Starting a Chat/Text Conversation with Hangouts 

Sign in to the UM Webmail with your UM IT Account and follow these steps:

  1. In the Hangouts sidebar, click on the 'Search' icon near your name. If the 'Search' icon is not visible, enable Google chat by:
    1. Clicking the gear icon in the top-right.
    2. Selecting Settings.
    3. Under the Chat tab, select Chat on and click the Save Changes button.
  2. In the pop-up window, type the email address of the person you would like to chat with and select from the result list as appropriate. A new conversation window will appear at the bottom of the Gmail webpage.

    Note that the contact will now remain visible by name in the Hangouts side bar.

  3. If you wish to add more contacts to the text conversation:
    1. Select the create group hangout icon in the conversation window. 
    2. Search and tick the boxes next to the contact/s you wish to add. Click the Add People button. A new conversation window including the selected contacts will appear.

Note that in a single Hangout chat/text conversation, you can have up to 100 participants.

B) Starting a Call with Hangouts 

Note: You can use the built-in microphone and webcam on your laptop or mobile device for video calls. If you wish to make a voice call, the built-in microphone on your device will suffice. For better quality calls it is recommended that you use a headset with a microphone.

To perform a call, follow these simple steps: 

  1. Repeat steps 1 and 2 as per A above.
  2. Click on the video icon, situated on top of the conversation window.

    In the new window you can perform other actions from the menu on top. You can invite other people to the call by clicking the Invite icon. Note that by default, both video and audio are switched on. If video is not required you can click the No video icon. If you would like to mute your microphone, click on the no mic icon.

    Note that a group call allows up to 15 participants.
  3. To end the call, press the End call icon.
