Departmental and Special Purpose UM IT Accounts provide the use of a University email address for departmental purposes (such as Faculties, Departments, Institutes, Committees etc.) or other University-related purposes (such as events or projects), respectively.

Registering for an account

Staff can register for a Departmental or Special Purpose UM IT Account by filling in the respective form [PDFs]:

The completed and signed form should be forwarded to IT Services Reception Desk.

Staff should refer to the Web Editorial Board's Email Address Policy when specifying the email address format for Departmental and Special Purpose UM IT Accounts.

Accessing the account

Departmental and Special Purpose UM IT Accounts are not accessed via the standard username and password that is provided for Staff UM IT Accounts. Instead, these accounts are delegated to their respective contact person indicated in the form that is completed when applying for such accounts. The contact person will then be able to access their Departmental or Special Purpose UM IT Account using their Staff UM IT Account username and password. Instructions on how to access Departmental and Special Purpose UM IT Accounts are available [PDF]. If additional staff require access to the account, or if the contact person has changed, contact the IT Services Helpdesk.

In addition, staff can set up forwarding from the Departmental or Special Purpose Gmail mailbox so that all emails sent to the Departmental or Special Purpose email address are automatically forwarded to other email addresses. Note that forwarding can only be set up for up to 20 different email addresses. If staff need to forward to more email addresses (e.g. a Special Purpose email address used as a staff mailing list), IT Services can set up a Google Group for this purpose. Contact the IT Services Helpdesk for further information.
