DESCRIPTION Introduces students to the principles of good records management and the different types of operations carried out within them. The main concepts of records management, in particular the lifecycle of records, and the continuum models, are discussed. The study-unit explores current and non-current records systems and trains students in designing appropriate classification schemes in the context of managing an organisation’s records. The study-unit enables the student to understand the effect of internal organisational structures and external drivers on the development of record-keeping systems. It highlights common areas and major differences between libraries and archives, and analyses the importance of record-keeping to society. The Maltese records management and archives processes are contrasted with practices overseas. Visits are held to registries, records offices, and private data management companies.

Study-unit Aims:

The unit aims to make students aware of the scope of records management in society and also to expose them to the various archival theories underpinning the records management science. The theoretical background is also explained through the constant reference to real life situations in business organizations.

Learning Outcomes:

1. Knowledge & Understanding
By the end of the study-unit the student will:

- Define the importance of recordkeeping;
- Define the need of records management;
- Distinguish between current and non-current record systems;
- Identify both internal organizational structures and external factors in development of recordkeeping systems;
- Tabulate differences between libraries and archives;
- Name similarities and differences between record management and archives management in Malta and other countries.

2. Skills
By the end of the study-unit the student will be able to:

- Design simple classification systems to aid in managing an organisation’s records;
- Explain the importance of the upkeep of relevant record keeping systems;
- Report on the organization’s record keeping systems;
- Perform a simple analysis / audit of a record keeping system;
- Define different theories underpinning archival practice.
