Applications are invited for the post of Precincts Coordinator at the Junior College. The successful applicant will be responsible for General Campus Management, Precincts and Events on Campus, the upkeep of all campus gardens, and the daily running of the office. The selected candidate will report to the Deputy Director and the Director of Estates, Facilities and Capital Development at the University of Malta, and to the Principal of the Junior College.

 

Eligibility

Vacancies in the grade of Precincts Coordinator will be filled by selection through a call for applications open to persons in possession of:

  • In possession of a recognized University degree (MQF level 6 – minimum 180 ECTS)

 

Salary Details

The annual salary for 2026 is €26,293 rising by annual increment of €440 up to a maximum of €29,373. On completion of four years of service in this grade, the appointee will, on satisfactory performance, be entitled to move on to the next salary band with annual increments of €450 up to a maximum of €33,381, plus an annual allowance of €2,100.

Further Information

A Precinct Coordinator has to be a proactive, methodical and flexible person to provide comprehensive, high-quality administrative support to senior member of staff at the Junior College.  The role involves identifying issues and referring them to the appropriate department. If the service is handled internally, the position entails following up on service delivery and assisting with execution in coordination with the Estates Manager/FMU Office and their staff. If the task involves an external contractor, the role supports the coordination and delivery of that service.

Precincts Coordinator may also assist in the provision of advice and information to various areas of the Junior college on past decisions and undertake follow-up action and draft appropriate reports and correspondence. Precincts Coordinator may also be responsible for the preparation of agenda papers, attending meetings, taking notes and transcribing these into formal minutes as well as supervising junior staff.

  • Strong communications skills - in person & telephone communications, plus formal and informal writing;
  • Knowledge of standard office practices and procedures, most importantly business English, spelling, grammar, and composition;
  • Skill in operation of personal computers and related software such as Microsoft Office, SIMS and AIMS;
  • Ability to learn other software programs, such as CMS (Content Management System) and operate standard office equipment; and
  • Have a demonstrated understanding of the administrative procedures of the University.

 

Main Duties/Responsibilities:

General Campus Management

  • Coordinate cleaning services across all areas.
  • Support in the setting up of areas (e.g. chairs, desks, furniture).
  • Handle relevant procurement in liaison with end users and Estates, Facilities and Capital

Development (EF&CD)

  • Coordinate the work and schedules of beadles across all duties.
  • Communicate and liaise with JC facilities, including:
    • Library
    • Sports facilities
    • Auditorium
    • Childcare centre
    • French Resource Centre
    • Manage student lockers.

Precincts

  • Coordinate all aspects of Security Officers and security matters.
  • Oversee parking and clamping operations.
  • Coordinate building services including:
  • HVAC
  • Lifts
  • Fire safety systems
  • Access control and CCTV
  • Oversee waste management processes, including:
  • Waste streaming and disposal
  • Recycling and hazardous waste (in liaison with EF&CD and OHS)
  • Coordinate gardening works.
  • Coordinate pest control services.
  • Liaise with the canteen operator.

Events

  • Coordinate hospitality services.
  • Manage events held off-campus.
  • Manage events held on College Campus.

 

The appointee is expected to work:

  • On a full-time basis, and will not be allowed to engage in any other gainful employment without the permission of the Council;
  • At such places and during such hours as may be determined by the University Authorities.

 

Selection Procedures

  • The scrutiny of qualifications and experience claimed and supported by testimonials and/or certificates (copies to be included with the application).
  • Short-listing of candidates.
  • An invitation to short-listed candidates to a Selection Board interview.

 

Selection Process

The selection process will follow the document “Guidelines for Members of Selection Boards in the Recruitment of Administrative, Technical and Industrial Staff”

In accordance with the guidelines, members of the Selection Board will establish the following selection criteria for the selection process:

  • Relevant academic qualifications
  • Relevant Academic / Work experience
  • Aptitude and suitability; and
  • Performance in interview

The appointment will be subject to a probationary period of one year and to the provisions of the Statutes, Regulations and Bye-Laws of the University of Malta which are now or which may hereafter be in force.
