Tutors who would like to request that IT Services provide guest access to other staff due to an exceptional case, must take note of the following:
Requests are dealt with on a case-by-case basis.
Only users who have a UM IT account can access the VLE. Therefore, if a staff member has not activated their UM IT Staff account, they cannot be granted access.
Guest access is only granted for exceptions such as the examples below:
An academic wants to grant VLE access to colleagues who are taking over a study-unit they previously delivered, such as during a sabbatical, to facilitate a smooth handover.
An academic would like to grant access to their colleagues who need to aid with assessments.
IT Services cannot grant guest tutor access if the tutor is officially teaching the study-unit, since they should be registered on SIMS as per UM procedures. Once registered, VLE access will be granted automatically within 24 hours.
The form must be submitted by the tutor who teaches the study-unit and would like to grant access, not the user requesting access.
You may use the online request form[Intranet] for the provision of VLE access (Guest Tutor or Content Developer) to other staff who are not officially teaching the study-unit.
This role is identical to the Tutor role (described above) except that it does not include the specific study-unit / class area in the VLE Copy Tool. Guest Tutor access is granted following a request from the tutor responsible for the study-unit / class area.
This role enables users to upload and manage course material and resources. Despite being capable of setting up forum activities, Content Developers do not have access to any posts submitted by students. However, Content Developers are able to view submitted students' assignments within the Assignment and Turnitin Assignment activities.
Note that:
IT Services cannot grant guest access to students, since all students MUST be registered on SIMS as per UM procedures. If there are delays or issues with registrations, such as if students failed to produce the necessary documents, have pending fees or failed to enrol in time, these matters must be resolved through the respective FICS. Once registered, VLE access will be granted automatically within 24 hours.
If a student is interested in following an extra study-unit for dissertation or research purposes, they should first speak with the tutor delivering the study-unit. Subsequently, they must contact the Office of the Registrar to be registered as Auditing students. They will then be granted VLE access automatically within 24 hours.
