Applications are invited for the grade of Commercial Programmes Coordinator at the Valletta Campus.

The position is for a definite period of 3 years, with the possibility of renewal.

 

Eligibility
 

Applicants in possession of a recognised University degree (MQF level 6 – minimum 180 ECTS)

 

Skills, Competencies and Knowledge

  • Strong organisational and project management skills.
  • Excellent communication and interpersonal abilities.
  • Experience in event coordination, or business development.
  • Ability to build effective relationships with academic staff and external stakeholders.
  • Strong administrative and IT skills.
  • Initiative, flexibility, and the ability to work independently while managing multiple priorities.
  • A customer-focused approach and excellent problem-solving skills.

 

Salary Details

The post carries an annual salary of €30,000.

Key Responsibilities may include:

  1. Administration of Short Courses/summer schools

  • Manage the end-to-end administration of short courses, summer schools, including planning, scheduling, enrolment, attendance, and certification.
  • Serve as the primary point of contact for prospective and enrolled participants.
  • Coordinate with academic staff, trainers, and support services to ensure the smooth delivery of courses.
  • Maintain accurate records and prepare reports on enrolment, completion rates, and course performance.
  • Ensure compliance with institutional policies and quality assurance procedures.

  1. Short Course Development
  • Identify opportunities for new short courses based on market demand, industry trends, and stakeholder needs.
  • Liaise with academic departments and external experts to develop new short course offerings.
  • Coordinate the design, approval, scheduling, and implementation of short courses.
  • Review and update existing short course portfolio to ensure relevance and quality.
  • Monitor participant feedback and recommend improvements to course content and delivery.

  1. Marketing and Promotion
  • Develop and implement marketing strategies to increase awareness and enrolment in short courses.
  • Prepare promotional materials in collaboration with the Communications and Marketing Office.
  • Monitor market trends and competitor offerings to identify opportunities for growth.

  1. Stakeholder Engagement
  • Develop partnerships with industry and external organisations to identify training needs and collaborative opportunities.
  • Respond to enquiries from individuals, organisations, and corporate clients.
  • Coordinate customised training programmes where required.
  • Foster strong relationships with internal and external stakeholders to support the expansion of the short course portfolio.

  1. Ground Floor Operations – Valletta Campus
  • Oversee the day-to-day logistics and operations of the ground floor at the Valletta Campus.
  • Act as the first point of contact for visitors, students, lecturers, and external clients using the ground floor facilities.
  • Coordinate room bookings and ensure teaching spaces are appropriately prepared for activities.
  • Liaise with the Management, IT Services, Security, and Housekeeping to ensure operational issues are promptly addressed.
  • Coordinate logistics for events, meetings, exhibitions, and short course activities taking place on the ground floor.
  • Ensure health and safety procedures are followed within the designated area.

  1. Operational Support
  • Assist in preparing budgets and monitoring expenditure related to short courses and associated activities.
  • Support procurement processes for training materials and resources.
  • Prepare statistical and management reports as requested.

  1. General Responsibilities
  • Contribute to the strategic development of the institution's lifelong learning and professional development initiatives.
  • Undertake any other duties commensurate with the grade of the post as assigned by the Manager or other designated supervisor.

 

The appointee is expected to work:

  • on a full-time basis, and will not be allowed to engage in any other gainful employment without the permission of the Council; 
  • at such places and during such hours as may be determined by the University Authorities.

 

The Selection Procedures

  • The evaluation of qualifications and experience claimed and supported by testimonials and/or certificates (copies to be included with the application).
  • Scrutiny of suitability report(s).
  • Short-listing of candidates.
  • An invitation to short-listed candidates to a Selection Board interview.

 

The Selection Process

 

The selection process will follow the document “Guidelines for Members of Selection Boards in the Recruitment of Administrative, Technical and Industrial Staff”

In accordance with the guidelines, members of the Selection Board will establish the following selection criteria for the selection process:

  • Relevant academic qualifications
  • Relevant experience and skills
  • Aptitude and suitability;
  • Performance during the interview

The appointment will be subject to a probationary period of one year, and to the provisions of the Statutes, Regulations and Bye-Laws of the University which are now or which may hereafter be in force.
