Staff and students who are invited to participate in a BIP coordinated by a partner HEI are kindly requested to notify the International Office as early as possible. Early communication is essential to ensure that adequate arrangements can be made to support both the students participating in the BIP and any academic staff involved in teaching and accompanying students. Academic staff considering participation in BIP delivery are expected to provide adequate student mobility opportunities.
The International Office must also confirm the availability of Erasmus+ funding for both students and staff and set up an Erasmus+ Inter-Institutional Agreement with the coordinating HEI to cover the BIP. For student participation, a Call for Applications must be issued by the International Office in collaboration with the participating department/faculty, and to do so, it requires advance coordination between the International Office, the relevant department/faculty, and the hosting partner HEI. Sufficient time must be allowed for the department/faculty to disseminate the Call, for students to apply, and for the selection process to run ahead of any nomination and application deadlines set by the coordinating partner HEI. Kindly note that selected students should also be formally notified of their acceptance well in advance to help avoid any last-minute increases in travel and accommodation costs. Additionally, students are required to submit all pre-departure documents at least 40 days before their departure date.
Therefore, to ensure effective planning and coordination, the International Office must be informed at least six months in advance of the BIP's scheduled start date.
For ECTS recognition purposes, the UM participating department/faculty also needs to liaise with its faculty officer to identify and obtain approval on whether the ECTS awarded for the BIP is to be transferred to students' records as extra or part of the students' programme of studies.

Participation in a BIP during examination periods is not allowed as it conflicts with students' academic obligations, unless the BIP is targeted towards postgraduate students who are following research-only programmes.

Kindly be advised that any Letters of Intent to participate in a BIP requesting UM's signature can only be signed by the Director of the International Office.
Funding for Staff Mobility Participants Accompanying BIP Students:
If available, the International Office will provide Erasmus+ funding to staff teachers when accompanying students participating in BIPs, in line with Erasmus+ funding rules. The minimum duration for staff mobility is 2 days, excluding travel. Staff teachers are required to deliver a minimum of 8 teaching hours. Further information on staff funding is available here.
