This training session is designed to equip administrative staff from Faculties, Institutes, Centres, and Schools with the essential knowledge and procedures related to the administration of Ph.D. students, in order to process a Ph.D. item within the Faculty channels and send the necessary information to the Doctoral Academic Committee (DAC).
The session will guide participants through the relevant University Ph.D. Regulations and Faculty Bye-laws, with a practical emphasis on common administrative workflows. Particular attention will be given to admissions requirements, the organisation and planning of the Faculty Doctoral Committee, students’ progress, requests for transfers from M.Phil. to Ph.D. studies and the examination process for an eventual Ph.D. award.

Course Bye-Laws, offering step-by-step guidance on interpreting existing regulations, identifying
necessary amendments, and ensuring compliance with institutional requirements. Through

This training provides a detailed overview of the procedures governing Boards of Examiners for Bachelor and Master dissertations, introduced in January 2017. Participants will gain a clear understanding of the composition and responsibilities of the Board of Examiners, the role of the Chair, and the key aspects of the dissertation examination process.
This session will cover essential topics such as the use of oral examinations, the criteria for determining referrals and re-examinations, and best practices for ensuring a fair and transparent assessment process. Through real-life scenarios and guided discussions, participants will have the opportunity to clarify complex cases and receive guidance on correct procedures.

This training session provides administrative staff within Faculties, Institutes, Centres, and Schools (FICS) with an understanding of the revised process for submitting programmes of study for courses scheduled to run in the academic year 2026/27.
The session will explain how proposed changes to programmes should align with recommendations arising from Annual and Periodic Programme Reviews, as required for all programmes of study that include a taught component of at least 30 ECTS credits.
Participants will also gain clarity on how these programme revisions affect the related study-units, ensuring that all updates are accurately reflected and compliant with current procedures.

Streamlining the University Admissions Process

Attendees will learn key features of the Student Information Management System (SIMS), with a focus on the ACD screen. These tools will enable staff to efficiently retrieve and analyse data, generate applications, and input recommendations. Additionally, various data retrieval methods will be explained.
The session will also cover topics related to General Entry Requirements and Special Course Requirements. Participants will gain an understanding of the structure and key components of the Matriculation Certificate, the International Baccalaureate, and the European Baccalaureate programs.

This training session introduces participants to the wide range of student support services available throughout a student’s academic journey at the University of Malta. The session will provide staff with clear guidance on how to address different situations involving students, including the appropriate use of support channels and referral procedures. Participants will also be given up-to-date information on both established and new services offered by the Office of the Registrar.
The session will cover the proper procedures for reporting breaches of regulations, offences, and complaints, while emphasising the importance of adhering to established timelines as outlined in the University regulations. The trainer will also provide practical examples and allow time for participants’ questions to ensure clarity and confidence in applying these procedures.

This workshop provides administrative staff with a comprehensive understanding of the University’s regulations, procedures, and guidelines that shape a student’s life cycle — from admission through progression to graduation. The workshop will highlight key provisions, clarify procedures, and address common areas of uncertainty. By strengthening knowledge of the regulatory framework, the session aims to ensure that staff are equipped to provide accurate guidance, support students effectively, and apply policies consistently across Faculties, Institutes, Centres, and Schools.
Please note: Attendance at this training is mandatory for all newly recruited administrative employees working within FICS or in direct contact with students.
